Combining and Splitting Records
ChartInsight lets you reuse files across multiple records using the "Add files from existing records" feature. This enables flexible analysis workflows without re-uploading files or incurring additional charges.
How It Works
- When creating a new record or editing an existing one, click Add files from existing records
- Browse or search your completed records
- Select one or more records to pull files from
- All files from the selected records are added to your current record
Example: Creating a Combined Record
Combine files from multiple provider-specific records into a single comprehensive analysis.
Scenario: You have separate records for "John Doe - Hospital A" and "John Doe - Dr. Smith". You want to create a master record with all providers for a complete case overview.
Steps:
- Click New Record from the dashboard or records list
- Enter a name for your combined record (e.g., "John Doe - Combined")
- Click Add files from existing records
- In the slideover panel, search for "Hospital A" and check the box next to that record
- Search for "Dr. Smith" and check that record as well
- Click Add Selected – all files from the three records are now included
- Optionally select a template and configure focus instructions
- Click Submit to begin processing
The combined record will include all pages from both source records, analyzed together as a single medical history.
Note: You can combine as many records as you wish.
Example: Creating a Provider-Specific Record
Create a focused analysis of just one provider's records from a larger collection.
Scenario: You previously uploaded all medical records for a case into a single record. Now you need a focused analysis of just the orthopedic surgeon's notes for an expert review.
This assumes your original files are already organized by provider, which is often the case when you receive records separately from each provider. If you uploaded a single combined PDF containing all providers, this workflow is not possible.
Steps:
- Click New Record from the dashboard or records list
- Enter a descriptive name (e.g., "John Doe - Dr. Johnson Orthopedic")
- Click Add files from existing records
- Search for the record containing the orthopedic files
- Check the box next to that record and click Add Selected
- If the source record contains files from multiple providers, you can remove unwanted files after they're added:
- In the file list, check the boxes next to files you don't need
- Click Remove Selected to exclude them
- Configure focus instructions specific to the orthopedic analysis (e.g., "right knee injury and surgical treatment")
- Click Submit to begin processing
The resulting record contains only the relevant provider's files with focused AI analysis.
No Additional Charges
Files added from existing records are not charged again. You only pay for pages once, regardless of how many records include those files.
Common Use Cases
Analyzing a Specific Provider
If you organize source files by provider (e.g., "Hospital A Records", "Dr. Smith Records"), you can create a focused analysis by pulling just that provider's files into a new record with specific focus instructions.
Creating a Master Record
Combine files from multiple provider-specific records into a comprehensive master record for full case analysis.
Focused Time Period Analysis
Pull files from a larger record and apply date-range focus instructions to analyze a specific incident period.
Comparing Before/After
Create separate records from the same source files with different focus instructions to compare pre-injury vs. post-injury documentation.
Team Collaboration
Team members can create their own analysis records from shared source files, each with different focus areas or custom sections.
Tips
- Only Completed records can be used as a source for files
- Search by record name to quickly find the files you need
- Consider organizing your original uploads by provider or date range to make splitting easier later
- Use descriptive record names to identify what files each record contains
